Subject: PGM - Suspension of Application and Contract Management Activities in
the Program Contracts System (ProTracts)
Date: September 4, 2009
Purpose. To announce upcoming suspension of application and
contract management activities in Protracts.
Expiration Date. December 31, 2009.
Explanation.
ProTracts will undergo annual maintenance and new year setup from September
25, 2009, through October 2, 2009. This coincides with a year-end rollover of
Farm Services Agency (FSA) eligibility databases and permits fund
synchronization with the Foundation Financial Information System (FFIS).
Therefore, please follow the dates below for suspension of financial activities.
There will be no exceptions.
- September 14thth – Modifications – Modifications must be submitted for
approval. Those not approved by State Office staff by September 17th will
revert to pre-modification status and, therefore, will need to be reentered
after October 2nd.
IMPORTANT: If a contract is set to expire on September 30,
2009, or before, and needs to be modified, a modification MUST be submitted
by September 14th. If the modification does not occur, we will have no other
choice but to CANCEL the contract. See MD Bulletin No. 440-9-2
- September 17th – Payments - Payments must be approved in Protracts and
payment packets received by your payment processor. FFIS shuts down on
September 25th.
- September 25th – Accruals – Per MD Bulletin
250-09-15, “Accrual Estimate Documentation form” must be completed for
any practices certified after NHQ reports are run on September 25th.
