Purpose. To provide information on implementation ofnew travel system and request completion ofAD-1143 by employees for authorization to access the system.

Expiration Date. September 30, 2008.

Explanation. 

ACTION REQUIRED BY ALL EMPLOYEES: In order to access the new mandatory GovTrip web-based travel system beginning July 7, 2008, each employee is required to complete and submit to FNM the attached AD-1143, Corporate Systems Access Request Form. Please fill out the yellow highlighted sections on pages 1 and 3, sign, date, and return just those pages to FNM no later than June 20, 2008. NHQ has requested these access forms be returned quickly because each NRCS employee nation-wide must be granted authority within each e-Authentication login user ID before they can access the GovTrip system.

On July 7, 2008, several USDA agencies, including NRCS, will be vacating the existing FedTraveler system for a new online travel system called GovTrip. This new system will automate and tie together several steps in the travel process including the travel authorization request and preparation and processing of the travel voucher.

This new system will make the paper forms AD-202 and AD-616 obsolete, use the e-authentication login to access the system, transmit payments to your federal travel credit card account, and deposit your reimbursement for out-of-pocket expenses into your payroll bank account.

Using GovTrip, each traveler will generate their own electronic travel authorization which will be digitally signed and routed to the appropriate reviewers and approvers to obtain their digital signatures. This electronic travel authorization is actually the vehicle for making your airline reservations and ticketing your flight; and for making lodging and rental car reservations (if required and authorized), as well as the template for processing your claim for reimbursement upon your return.

Please take a moment to visit and bookmark the GovTrip website which is located at http://www.govtrip.com/govtrip/site/index.jsp . The most important thing to remember when you visit the GovTrip website is to be sure that you are at the USDA link which has the USDA emblem in the upper right hand comer.

There is a tutorial available at the GovTrip website entitled Web Based Training (WBT). Employees will be able to develop their travel authorizations and make their reservations by themselves, as well as develop their travel voucher, after reviewing this training module because of the similarity to the FedTraveler system.

We will be sending more information about GovTrip as we get closer to the launch date. Please be sure to return your AD-1143's to FNM as soon as possible to avoid access problems.
